Commercial Back Office Specialist (Hybrid)

About the role

We are looking for a Commercial Back Office Specialist to join Kubota’s Sales Support team in Milan. The role serves as the operational hub for the commercial network, assisting sales inspectors, dealers and management with daily administrative and commercial tasks in a hybrid work environment.

Key responsibilities

• Support sales inspectors by handling delivery time requests, checking machine and engine availability, processing order modifications and monitoring order progress.
• Assist dealers with product availability, pricing, order exchanges, delivery address changes, and provide compliance documents such as CE certificates.
• Enter and manage orders, verify prices and discounts, update Excel tracking files and maintain inventory records.
• Perform monthly verification of rebates, service fees and manage warranty extensions.
• Validate invoices using the ESKER system and keep sales figures up‑to‑date.
• Conduct data analysis, prepare sales statistics and generate reports for management.
• Handle the main phone line, welcome visitors, support event organization and communicate with the dealer network.
• Perform small translations and other general administrative tasks as needed.

Required profile

• Entry‑level experience in a commercial or administrative back‑office environment.
• Strong organizational abilities and capacity to manage multiple priorities.
• Excellent teamwork, accuracy and service orientation.
• Professional level English communication skills.

Required skills

• Proficiency with Microsoft Office, especially Excel.
• Experience using the ESKER invoice validation system.
