Club Administrator

About the role

Responsible for the club’s financial and team administration, supporting the Management Team in daily operations.

Key responsibilities

• Perform daily banking reconciliation and investigate any variances.
• Manage team records in the Fourth system for sickness, maternity, paternity, probation, holidays and maintain related documents.
• Ensure heads of department follow time‑and‑attendance policies, submit weekly schedules and birthday payments.
• Submit weekly banking reconciliation via Banking Solutions and share reports with the General Manager.
• Oversee receipting processes and cost tracking for each department.
• Prepare notes for HOD meetings, including new starter inductions, probation dates, birthdays and weekly banking feedback.
• Create and deliver contracts or amendments for club team members (excluding GM and Club Admin).
• Set up new associates in Club Centric, Kitbag and other HR tools, ensuring all paperwork is uploaded.
• Conduct monthly self‑audit, PDQ checks and manage finance‑related invoices and NMP logs.
• Support heads of department and supervisors in all HR procedures, including right‑to‑work checks, DBS, and onboarding.
• Coordinate new starter onboarding: IT access, uniform, profit protection, and system logins.

Required profile

• Fluent English.
• Reports to the General Manager of the club.

Required skills

• Proficiency with Fourth HR system.
• Experience using Banking Solutions for reconciliations.
• Familiarity with Kitbag platform.
• Experience with Concur for expense management.
