Florence Coordinator and Fulfilment Specialist

About the role

LivTours is seeking a proactive Ground Operations Coordinator to join its Fulfilment Team in Florence. The role blends on‑site service delivery with remote operational support, ensuring seamless tour experiences for clients and guides across Italy.

Key responsibilities

• Coordinate tours and events, welcome clients, handle emergencies and manage meet‑and‑greet logistics.
• Maintain and distribute inventory materials for ticketing offices and on‑site locations.
• Act as the regional expert and primary point of contact for the LivTours team, supporting operational and strategic needs.
• Collaborate with operations to prepare pre‑tour communications and conduct pre‑service checks.
• Provide rapid on‑ground problem‑solving during peak periods and operational disruptions.
• Assist the supply and venue manager in nurturing relationships with sites, restaurants and transport suppliers.
• Develop and maintain procedural documentation for departmental processes.
• Support the guide manager with last‑minute bookings and guide allocation.
• Coordinate the full fulfilment cycle from ticket procurement to on‑tour client support.
• Stay updated on product changes, procedures and operational conditions.
