Front Office Assistant

About the role

We are a growing tour operator based in the heart of Florence, looking for a motivated Front Office Assistant to join our international operations team. This full‑time, on‑site position supports the entire guest journey, from booking through departure, in a fast‑paced tourism environment.

Key responsibilities

• Manage daily tour operations and reservations across multiple OTA platforms.
• Coordinate bookings, schedules, suppliers, guides, and customer communications.
• Optimize product listings and availability on GetYourGuide, Viator, Headout and similar OTAs.
• Use Rezdy or other booking management systems to oversee reservations, reporting, and workflows.
• Provide outstanding customer service before, during, and after tours.
• Support sales activities, upselling opportunities, and customer retention.
• Assist in maintaining high operational standards and seamless guest experiences.

Required profile

• Minimum 2 years experience with a tour operator, travel company, DMC or tours & activities provider.
• Strong operational experience managing tours, bookings and customer support.
• Proven experience with OTA distribution channels such as GetYourGuide, Viator, Headout.
• Fluent English (spoken and written) and based in Florence or nearby with a valid Italian work permit.
• Availability to work full‑time on‑site, including weekends and holidays when required.
