Team Assistant

About the role

The Centralized Management Unit of UNICRI in Turin is seeking a Team Assistant to provide comprehensive administrative and logistical support. Working under the Chief of the unit and the Administrative Assistant (HR), the incumbent will ensure smooth day‑to‑day operations across office, procurement, and HR functions.

Key responsibilities

• Deliver a wide range of general office and administrative support services.
• Generate statistical reports, process invoices, verify project charges and prepare payment requests.
• Manage office supplies, coordinate replenishment from the UN Campus warehouse and external vendors.
• Act as low‑value purchasing focal point, conduct market research, review bidders and create purchase orders in the UN SAP system (UMOJA).
• Handle incoming and outgoing mail, maintain distribution lists and coordinate printing, translation and courier services.
• Create service entry sheets in the ERP system for external service provider payments.
• Provide secretarial and logistical support for meetings, boards, committees and conferences.
• Assist with the UNICRI Internship programme, including onboarding, vacancy tracking and documentation.
• Support HR tasks such as registration and verification in the business partner module of UMOJA.
• Collect, analyse and present data for reporting, knowledge management and decision‑making.

Required profile

• Proven experience in office administration and support functions.
• Familiarity with procurement processes and low‑value purchasing.
• Experience handling HR‑related administrative tasks.
• Strong organisational skills and ability to manage multiple priorities.
