Team Medical Secretary

About the role

The Team Medical Secretary provides essential administrative support within the NHS Greater Glasgow and Clyde eating disorder service. Working from the Florence Street Resource Centre, the role ensures smooth communication between staff, patients, carers and external agencies while maintaining accurate patient records.

Key responsibilities

• Answer and triage telephone enquiries from NHS staff, patients, relatives, carers and external agencies.
• Manage the scheduling and administration of outpatient clinics.
• Direct and prioritise queries to ensure efficient service delivery.
• Maintain and update the mental health patient information system (EMIS) with accurate data.
• Create and maintain documents, databases and spreadsheets using Microsoft Office.
• Demonstrate competence with a range of computer packages, supported by formal qualifications such as the ECDL.

Required profile

• Strong ability to handle confidential information and maintain patient privacy.
• Excellent telephone etiquette and the capacity to prioritise multiple enquiries.
• Attention to detail when updating patient records and administrative data.
• Ability to work Monday to Friday, 09:00‑17:00, in an on‑site NHS environment.

Required skills

• Proficiency with the EMIS patient information system.
• Advanced use of Microsoft Office (Word, Excel, Outlook, PowerPoint).
• Formal computer competency certification (e.g., ECDL).
