Events Coordinator

About the role

The Pontifical University of St. Thomas Aquinas (Angelicum) seeks an Events Coordinator to plan, organise and deliver a wide range of academic, cultural and institutional events on its Rome campus. This on‑site position offers the chance to support a vibrant international community of students, faculty and guests.

Key responsibilities

• Maintain and update a university‑wide events calendar covering conferences, lectures, ceremonies, open days, alumni gatherings and fundraising activities.
• Lead end‑to‑end event delivery, from concept and objectives through run‑of‑show, budgeting, execution and post‑event evaluation.
• Coordinate vendors and service providers such as catering, AV, security, cleaning, printing, photography, interpreters and transportation.
• Manage venue logistics, including room bookings, capacity, accessibility, signage, permits, parking, guest flow and VIP arrangements.
• Collaborate with Marketing, Communications and IT on invitations, programmes, web/RSVP pages, email campaigns and social‑media support.
• Oversee registration processes, badge creation, check‑in and guest communications.
• Assist with visa acquisition for international speakers when required.

Required profile

• Fluent in Italian and English (C1/C2) for daily operations and stakeholder communication.
• Comfortable working on‑site and hands‑on during events.
• Familiarity with Italian vendors, regulations and event‑related workflows.
• Ability to stay organised, proactive and calm under pressure, especially when handling multiple tasks or last‑minute changes.
