Executive Sales Secretary – Southern Region & Italy

About the role

Hitachi Vantara is looking for a highly organised, proactive and detail-oriented Executive Sales Secretary to support the Regional Vice President (RVP) for the Southern Region and the Italy Country Manager. The role acts as a key coordination point across leadership, sales and internal teams, supporting day-to-day operations, business priorities, customer activities, tenders and leadership initiatives in a fast-paced, international environment.

Key responsibilities

• Manage complex and frequently changing calendars
• Coordinate internal and external meetings, leadership meetings and business reviews
• Organise travel arrangements, including flights, accommodation, transport and detailed itineraries
• Handle confidential information with discretion and professionalism
• Support the Italian sales organisation
• Support the preparation, coordination and submission of tenders and RFPs, working with Sales, Finance, Legal, Operations and other teams
• Support the creation and processing of purchase orders
• Plan and coordinate leadership events, sales meetings, team meetings and company-wide initiatives

Required profile

• Previous experience as an Executive Assistant or Secretary, preferably in a multinational organisation
• Experience supporting senior executives and/or sales leadership
• Experience coordinating events, meetings and travel
• Fluent English and Italian; additional languages are an advantage

Required skills

• Strong organisational and time-management skills, able to handle multiple priorities
• Experience supporting tenders, RFPs, purchase orders or sales administration is highly desirable
• Attention to detail, follow-through and a proactive, independent approach
