Junior Office Manager

About the role

We are looking for a Junior Office Manager to ensure our Milan, Madrid or Warsaw office runs smoothly and provides a welcoming environment for all team members. You will be the first point of contact for facilities, logistics and day‑to‑day office operations, helping the company maintain its high standards of efficiency and employee experience.

Key responsibilities

• Maintain the office space in clean, comfortable condition and ensure it is fully equipped for staff needs.
• Coordinate daily logistics such as deliveries, supplies, catering and maintenance to keep operations running like clockwork.
• Manage access and safety procedures, including temporary passes, emergency protocols and security checks.
• Quickly troubleshoot and resolve facilities issues to preserve seamless functionality.
• Identify and implement improvements to enhance the overall workplace experience.

Required profile

• On‑site presence – you will work from the office every day.
• Strong reasoning ability – solve complex problems from first principles and pay attention to detail.
• High drive and ambition – take ownership, show initiative and maintain a high personal bar.
• Team spirit – support the best ideas, help colleagues hands‑on and act with honesty and transparency.
• Proficiency in English (reading, writing and speaking).
• Proficiency in the local language of the office (Italian, Spanish or Polish).
