Travel Assistant

About the role

The Travel Assistant provides essential support to the Travel Unit of the General Administrative Services Section within the Office of the High Commissioner for Human Rights (OHCHR). Reporting to the Head of the Travel Unit, the incumbent coordinates travel arrangements for civilian, military, and police personnel across member states.

Key responsibilities

• Coordinate travel for civilian, military, and police staff, including itinerary planning and ticketing.
• Calculate and initiate travel entitlements such as airfare, excess baggage, terminal expenses, air‑freight, and daily subsistence allowances.
• Provide advice on the most direct and economical airfares, frequency of services, and budgeting information for programme managers.
• Negotiate with airlines and travel agencies to secure reduced fares, group discounts, and favorable baggage rates.
• Handle ticket changes, cancellations, and re‑issuance, including reimbursement processes.
• Pre‑audit official itineraries to ensure compliance with UN staff rules and travel regulations.
• Review travel claims and supporting documentation for accuracy before forwarding to the Accounts Division.
• Advise the Administrative Office on cost‑effective routing and advance purchase opportunities.

Required profile

• Experience coordinating travel for civilian, military, or police personnel.
• Familiarity with United Nations travel entitlements, staff rules, and related regulations.
• Strong analytical skills for calculating entitlements, per diems, and residual ticket values.
• Ability to negotiate with airlines and travel service providers.
• Attention to detail in reviewing travel claims and documentation.
