Personal Assistant to General Manager

About the role

Mandarin Oriental, Rome is seeking a proactive Personal Assistant to support the General Manager of its upcoming luxury hotel. The role blends high‑level administrative duties with project coordination across multiple hotel departments, ensuring smooth operations and exceptional guest experiences.

Key responsibilities

• Manage the General Manager’s calendar, travel arrangements, and meeting logistics.
• Draft and prepare documents such as welcome cards, reports, and presentations.
• Assist with the planning, execution, and follow‑up of strategic projects and initiatives.
• Oversee commercial development and rental management of hotel display showcases, coordinating payment follow‑up with Finance.
• Run the hotel gallery, including artist onboarding, exhibition organization, and commercial performance.
• Coordinate boutique operations during peak seasons (e.g., Easter, Christmas), handling decoration, setup, and product selection.
• Collaborate with Sales, Marketing, Quality, Rooms Division, and Food & Beverage teams on cross‑departmental projects.
• Serve as the primary liaison between the General Manager and other departments to ensure clear communication and alignment.

Required profile

• Fluent in English and Italian.
• Previous experience in luxury hospitality or a strong administrative background.
